Event Request Procedures
- Begin by submitting the online Event Request which is routed
to OSA.
- Most events will be approved and forwarded immediately to the appropriate scheduling office but some (high profile speakers,
concerts, benefit fundraisers, parties, etc.) will require a more comprehensive review by
OSA staff.
- Once the event is approved by OSA, the space request is forwarded to
the appropriate scheduling office for space assignment.

For spaces scheduled by the Registrar's Scheduling Office ONLY
(auditoria, academic spaces, fields)
- Review the locations managed by the
RSO and check availability prior to completing your event request. Note: In order to view room ability, you must either be using a computer on campus (at the library for example) NOT in the residences. To check room availability from the residences or any other location, please download and install the Stanford VPN client available here: https://www.stanford.edu/services/vpn/downloads.html
- Forms must be submitted at least 7 days before the event for the RSO to process the request. Major events will require more time for approval to be granted.
- Provided that your online form is complete, your assigned space will
be forwarded to you within 7 days.
- If the space you requested requires additional paid services (cleaning, audio/visual, etc.), the RSO will direct you to complete the appropriate work orders.
- Your group must be registered and approved.
- The Event Request must be submitted by the President or Treasurer.
- Additional information for specialized/major events may also be requested/required including a benefit fundraiser application, external fundraising application, party notification, event proposal, etc.
- Larger/major events may require significant lead time for planning and review.
